Send an Invite to your Waitlist without Increasing Event Capacity


When your event is sold out and the Waiting List feature is enabled, potential purchasers can register to be on the waiting list. In the event that someone wants to cancel their tickets, you can prioritise the waitlisters and send them an invite to book tickets instead of opening the ticket sales to the public.


 


To accomplish this, navigate to the Sales List tab and access the order for which you wish to cancel tickets. Follow the ticket cancellation procedure. After selecting the tickets for cancellation and moving forward, on the subsequent page, there is a Waiting List checkbox option—ensure to tick this checkbox.

 


  • If you opt to skip or uncheck the box, the tickets will be canceled, making them available for the public to book.

  • If you choose to check the box, the tickets will be canceled, and you will be directed to the Waitlister Invite page.


Important: 

  • This option is only offered during the cancellation of tickets.
  • This option will only appear if the Waiting List feature is enabled for the event. (click here to know how to enable Waiting List feature)

 


  1. Current Tickets Available - This indicates the canceled ticket type and the quantity of available tickets.

  2. Valid Until - This is a mandatory field that requires you to set an expiration time for the invitation. Once expired, any unsold tickets will be released for public purchase.

  3. Select Waitlisters - A list of waitlisters and their preferred tickets. You can choose individual waitlisters or send an invite to all.

An email will be sent to the selected waitlist, informing them of the available tickets and the first-come, first-served nature of the invitation.

Click the Confirm Send button. This action will send an email invitation to the selected waitlisters, and you'll be directed to the Waiting List tab, displaying Active Invites and Waitlisters.

Note:

  • If the offered tickets are not purchased or only partially bought by the expiration date/time, the remaining tickets will be open to the public.

  • Waitlisters who were invited but couldn't successfully purchase the tickets will remain on the waitlist for any future ticket releases.
