How to Send Zoom or Streaming Links to Your Event Attendees

Three ways to share your streaming link — automatically at checkout, via direct message, or through an external platform.

If you're running an online event, you have three options for sharing your Zoom or streaming link with attendees. Choose the approach that best fits your workflow.


Option 1 — Add the link to your event (recommended)

Include your streaming link in the Additional Information field in your event's Location section. It will be automatically included in every confirmation email, receipt, and e-ticket sent to ticket purchasers — no extra steps required.

This is the simplest and most reliable option for most online events.

Best for: Automatic delivery — link goes out with every confirmation email.

Option 2 — Send a message to ticket holders directly

Use the built-in Notify Purchasers tool to send a one-off email or SMS to all attendees — useful for last-minute link updates or event-day reminders.

Steps

  1. Log in and go to My Events.
  2. Open your event.
  3. Click Notify Purchasers.
  4. Click Create (top right corner).
  5. Choose Email or SMS as the delivery method.
  6. Select your recipients.
  7. Write your message and include the streaming link.
  8. Click Send.

Note: SMS and email notifications may incur a small fee. Payment can be made via event billing or account top-up.

Best for: Last-minute updates, event reminders, or when the link changes after ticket purchasers have already registered.


Option 3 — Export attendee details and send externally

If you prefer to manage communications outside Sticky Tickets — for example, using Mailchimp, Outlook, or another platform — export your attendee contact details and send the link directly.

How to access attendee contact details

  1. Log in and go to My Events.
  2. Open your event.
  3. Click Reports in the left sidebar (or access from the Summary tab).
  4. Download the Export Sales, Address & Tickets report.

The report includes guest names and contact details — if those details were collected during ticket purchase.

Best for: External email platforms or custom communication workflows.

Important: Contact details are only available if you collected them via Event Questions during checkout. If you haven't set up contact questions, ticket purchasers' phone numbers and addresses may not be in the report. See: How to create and manage custom questions for your event.


Most common scenarios and questions

Can I use all three options for the same event?

  • Yes — the three options are independent. Many organisers use Option 1 to send the link automatically at checkout and Option 2 to send a reminder the day before the event.

Is there a cost to use the Notify Purchasers tool?

  • SMS notifications incur a small fee. Email notifications may also incur a fee depending on your account. Payment is made via event billing or account top-up.

What if my streaming link changes after tickets have been sold?

  • Use Option 2 (Notify Purchasers) to send the updated link directly to all ticket purchasers. You can also update the Additional Information field in your event settings — but existing ticket purchasers will not automatically receive the update. Contact our support team if you need confirmation emails resent with the new link.

Can I send the link to only some attendees, not all?

  • Yes — in Option 2, you can select specific recipients when setting up your message rather than sending to all ticket purchasers.
